The West Moberly First Nations is located a 35 minutes’ drive/40 kms northwest of Chetwynd, BC, at the west end of Moberly Lake. The area is surrounded by the lake and rivers, trees, and mountains. Operations Coordinator – Lands Department

About the position

The Operations Coordinator - Lands is a training role potentially leading to a more senior role within the land’s office. The operations coordinator’s main role is to work to be the main contact in the office in reception and to understand and assist the forestry, wildlife positions and eventually take a larger role in other industries such as wind energy projects. This role will work closely with all areas of the Lands department as a resource support of West Moberly First Nations (WMFN).

Administration

  • Provide overall operations and administration assistance for the Lands office at WMFN.
  • Answer phone call of inquiries of Land Use matters and direct to the appropriate department.
  • Assist with planning meetings for the Land Use Manager and relevant staff.
  • Attend required meetings w/ staff, take notes, assist in organization of files and projects.
  • Undertake photocopying, faxing, filing and shredding of documents as required.
  • Assist WMFN Lands staff as requested.

Operations

  • Support the Forestry, Wildlife, Wind, Oil and Gas energy technical to ensure all processes are documented and accurate records are maintained for future use.
  • Create and maintain archive system for easy retrieval of information for future use.
  • Receive, catalogue, organize, track, and respond to written and telephone requests for comments on forestry development, wildlife and wind energy and oil and gas plans, projects, applications as directed by appropriate staff.
  • Work with RTS/Data management to ensure documents are digitized and correctly filed online.

Ongoing Development and Training

  • Listen and participate in discussions/negotiations with various proponents and government agencies to assist staff to address project and relationship issues.
  • Support Forestry various staff (including but not limited to, forestry, wildlife, oil and gas and wind energy), with any request for administration duties.
  • Learn all areas of the Lands department administration to assist all staff.

  • Knowledge of First Nation communities or organizational structure an asset.

Education and Work Experience:

  • Post-secondary education and/or formal training in office administration.
  • At least three years’ previous administration experience, preferably within a First Nations environment.
  • Understanding of First Nations Governance and Land Use policies for WMFN.

Knowledge, Skills and Abilities:

  • Experience writing and reviewing proposals.
  • Clear and concise phone manner and communication style both verbally and in writing.
  • Demonstrated organizational skills to effectively prioritize workload and meet deadlines.
  • Effective interpersonal and organizational skills and the ability to maintain effective working relationships.
  • Ability to handle confidential information with tact and discretion.
  • Working knowledge of basic record keeping and bookkeeping/accounting procedures.
  • Demonstrated ability to work effectively, both independently and as part of a team.
  • Intermediate skills using a variety of computerized software packages such as Microsoft Office Suite (e.g., Excel, PowerPoint), related databases and Internet.
  • Ability to use various office equipment.
